FileMaker database instead of distributed sheets

In many companies, contacts, orders and work statuses start out in spreadsheets. Problems arise when several people edit the same data, more copies of files accumulate, and reports require manually combining different datasets. FileMaker lets you build a shared data model, screens for individual roles and rules that guide users through their tasks.

It can handle projects, service orders, sales, documentation, resources and selected warehouse operations. It is not one ready-made program for every industry. It is a platform where a solution is designed in line with the process and people's responsibility.

The application can also handle expense settlement: reporting costs and attachments, assignment to a project, approval by the appropriate person and a report by status and period.

Working with data: from import to report

The starting point can be data from Excel, CSV or an existing database. Import itself does not remove duplicates or create valid relationships. We determine customer and product identifiers, field types, required values, and how records are updated. We perform the first transfer on a copy and agree the result with the data owner.

Searching, sorting, lists, summaries and reports are important in everyday work. Data can feed prints and PDFs; Generating extensive DOCX or XLSX is selected as a separate mechanism when Office templates and complex formatting are needed.

The report can combine a list of details with a summary by client, project, or month. We choose a chart for the question: bars for comparison, a line for change over time, a scatter chart for relationships. Documents and shipments from the application use the agreed template and the appropriate set of records.

Extension of existing FileMaker applications

When taking over an existing application, we check the table structure, scripts, layout context, permissions, plug-ins and external connections. We also talk to users: a slow screen may be due to the data model, the way information is retrieved, or the network itself.

After the audit, we divide the changes into stages. We determine the scope of tests, how changes will be transferred and the possibility of return. Maintaining business continuity is an element of the modernization project, not a result of the version update itself.

Computer, mobile device or browser?

FileMaker Pro is used to create applications and work on Windows and macOS. Go allows you to use the solution on iPhone and iPad. WebDirect provides an interface in a supported browser. Team access requires appropriate hosting and licensing.

The mobile interface should result from the task. Recording a pickup, photo or status on the floor requires different screens than analyzing orders in the office. If you need to work without a network, we design local data, its exchange and conflict resolution separately.

Choosing a platform starts with constraints

Before choosing FileMaker, we check the scale of data, the nature of simultaneous work, integrations, access requirements and maintenance costs. A public portal with a different user model may work better as a separate application connected to FileMaker via API.

For the first interview, a description of one process, a sample sheet without confidential data and a list of systems used are enough. On this basis, the scope of the analysis and the first stage of the solution can be determined.

FileMaker among the tools you already use

A store, web form, accounting system or SQL database can remain part of the environment. We determine which system assigns identifiers, where data can be changed and how we confirm correct operation. Thanks to this, the new connection reduces manual work without creating another divergent file.

FileMaker Data API exposes data to external applications, HTTP calls enable services, and Claris Connect combines events and activities into flows. The selection of API, ODBC or files depends on both sides of the integration. We supplement the automation with a log, error control and retry support.

FileMaker 2026: application development and new AI possibilities

FileMaker 2026 develops design tools, scripted PDF document submission and work with AI. Semantic search and RAG help make knowledge from documents available in the application. Additional field descriptions provide models with the context they need to understand the data.

We choose one useful scenario and check its result on real examples. We determine access to materials, how to update them, local or external model and processing costs. Answers and proposed actions have a clearly defined method of verification.
