Integrations between systems

System integrations: data that reaches the right place

We organise the flow of information between the tools your business already uses. Data reaches the right place without manual re-entry or checking several dashboards.

01

FileMaker + WWW

Forms, customer, employee and partner panels connected to the internal system.

02

Sales + ERP + logistics

Orders, stock, documents and statuses sent between the right tools.

03

Documents + reporting

Automatic generation of DOCX, XLSX and PDF documents from up-to-date data.

04

API + ODBC + automations

Exchange triggered by an event, schedule or conscious user action.

01Integrations

Customer Portal and FileMaker

The client sends an inquiry or document on the portal. The application checks the data, identifies the user and forwards the report to FileMaker. The response or status returns to the portal as far as the person can see.

The portal needs its own access control. We do not provide the technical password for the database in the browser. The API error should leave the report in a controlled state, with the option to retry and inform the support.

02Integrations

Store, ERP and order fulfillment

The store submits the order with items and payment. ERP or FileMaker is responsible for the agreed implementation stage. Statuses, document numbers and shipment status return to the sales channel. We determine the source of prices, product lists and availability separately.

When repeating the same message, a second order cannot be created. Transactions receive persistent identifiers, and partial fulfillments, returns and adjustments have their own rules. We assess integration with WooCommerce, IdoSell or marketplace based on the current interfaces of a given account.

Example: order from the store to be fulfilled
  1. Shop

The order receives a permanent ID and items.

  2. Check

We recognize products, customer and payment.

  3. ERP/FileMaker

An order is created with a confirmed number.

  4. Answer

The fulfillment status returns to the store.

Resending the same order updates its status according to the rules; does not create a second sale.

03Integrations

DOCX, XLSX and PDF documents

Data from an accepted record can be included in an offer, protocol, statement or report. First, we determine the template, number and date formats, numbering rules and whether the document should reflect the state at the time of issue.

The document generator may be a separate service. The integration should save the result, template version and record association. We do not assume that exporting data to a file alone will ensure the expected layout and correct printing.

04Integrations

API and ODBC in the FileMaker ecosystem

FileMaker Data API enables controlled access to data via HTTP. It requires host configuration, appropriate permissions and session support. It is not a ready-made connection to every external system - you still need to design the mapping and process rules.

With ODBC, we distinguish between using an external database and providing FileMaker as a data source. Server and Cloud have different scopes of these capabilities. We also check plug-ins and older publishing mechanisms before choosing hosting.

05Integrations

Events, schedules and responsibilities

The change can trigger the exchange immediately or go into periodic synchronization. A webhook reports an event, but the receiving system must be able to recognize the repetition and determine the state after the delay.

Claris Connect can accept webhooks and execute flows. OData capabilities and calling external services from the FileMaker script should be treated separately. Each of these mechanisms has a separate configuration and scope of application.

06Integrations

Error handling and integration retry

Before implementation, we determine which errors can be repeated and which require human decisions. An unavailable service is different from an incorrect product ID or conflicting price. The registry allows you to find the operation without saving passwords and unnecessary data.

  • data validation before sending
  • operation IDs and duplicate protection
  • queue, limited retries and restart point
  • history of the result and the possibility of explaining discrepancies
  • data reconciliation after a long failure
07Integrations

Information needed for integration analysis

We need system names and versions, a sample run, documentation of the available API or export, and the person responsible for each page. The test environment allows you to test the solution without changing the actual orders.

For the quote, we determine the replacement directions, frequency, typical and peak number of operations, required response time and manual correction method.

For older solutions, we also include SOAP services and WSDL description. We check available operations, authentication, and version dependencies rather than assuming compatibility based on interface name alone.

08A common data language

Mapping data and identifiers between systems

"Customer" may mean a company, a contact person or a buyer's account. “Availability” may be physical condition or quantity less reservations. Before combining, we agree on the meaning of the data, identifiers and owner of each piece of information.

We also check for empty values, units of measurement, time zones, and dictionary changes. Revision of exchange rules and samples of correct and incorrect messages help maintain integration after updating one of the applications.

Source

We indicate the system that determines the price, status, address and product data.

Linkage

We store identifiers for both parties; the customer or product name does not replace the key.

Change and deletion

We determine whether the record can be overwritten, marked as inactive, or requires the operator's decision.

Confirmation

We control the business result, e.g. the number of the document created, and not just the server response.

09FileMaker and PostgreSQL

FileMaker and PostgreSQL in one process.

FileMaker can handle your team's daily work, and PostgreSQL can store your web application or analytics layer data. We connect these environments through a prepared service, with a fixed data source, record identifiers and change control.

FileMaker Data API provides FileMaker data; the integration service communicates with PostgreSQL using its own interface. We evaluate the ODBC and ESS variants separately: it requires checking the adapter, driver, host system and compatibility of the versions used.

Controlled data exchange
  1. The source of change

A record or event in the system that owns the record.

  2. Integration service

Field mapping, operation ID and validation.

  3. Target system

A record with the appropriate permissions and confirmation of the result.

  4. Exchange register

Status, error diagnosis and controlled retry.

10AI and API integrations

AI integration with business processes

The assistant can find information in documents, propose a classification of the report or prepare a summary. We connect the model with selected sources via API, select the context and check the results based on user questions. For semantic searches, you can use PostgreSQL with the pgvector extension or the RAG mechanisms of the Claris platform.

Operations that change data receive their own permissions, execution register and required approvals. We determine what information goes to the model provider, how long it is stored and what costs its use generates. The on-premises model also requires access and maintenance control.

Question about documents

Reply with reference to the material the user has the right to see.

Organizing reports

Category and summary suggestions, checked before further processing.

Controlled activities

Calling the selected API operation with validation and confirmation.

API Contracts

Description of operations and data, e.g. OpenAPI, facilitates development and integration testing.

11Mail, calendar and documents

Mail, calendar, maps and document integrations

The system should work with tools in which the team already plans the day and serves customers. We select the scope of connections to the available interfaces, permissions and licenses of a given service.

Mail and notifications

Sending documents, e-mails and SMS and converting the received message into a ticket with the right customer and history.

Calendar and maps

Exchange of dates, e.g. with Google Calendar, handling changes and cancellations, and map of facilities based on address or coordinates.

Common SSO login

Binding the application to an identity provider, such as Google or Microsoft, with role mapping and access termination control.

Edit documents in the browser

Integration with an appropriately licensed Word, Excel or PowerPoint document editor: opening, saving changes, versions and file permissions. This is a separate scope from generating DOCX, XLSX and PDF.

Questions and answers

Before making a decision

Does integration require rebuilding FileMaker?

Not always. Often, a controlled data exchange interface and minor adjustments to the existing solution are sufficient. We determine the scope after the audit.

What if the other system doesn't have an API?

We check officially supported alternatives: ODBC, exports and imports, CSV, XLSX, XML or JSON files. First, we assess whether the integration will be safe and stable.

Is it possible to exchange both ways?

Yes, as long as both systems provide the necessary mechanisms. Before implementation, we clearly determine the source of each information and the rules for resolving conflicts.

Let’s start with a conversation

Which data do you transfer between systems?

Name the applications and show one flow: what starts the exchange and how the user knows it was successful.
